Find my subsidy

GUIDE · CASH FLOW

Subsidies are paid later — plan your cash flow

補助金は後払い:資金繰りの考え方Why you need the full amount before the subsidy arrives

A subsidy is a refund, not an advance. You pay the full price first, report, and receive the money months later. Plan for that gap before you apply.

Each program sets its own dates. Report reviews take time: the Sustainability Subsidy office, for example, says reviews take 3–4 weeks and up to about 3 months if corrections are needed.

Ways to bridge the gap

Options

  • Own funds — simplest if you can
  • A loan from your main bank — show them the grant decision
  • Japan Finance Corporation (日本政策金融公庫) — the government lender for small businesses; see the JFC startup loan
  • Invoice factoring — fast, but compare the fees carefully

Check first

  • Whether leases or instalments are allowed in your program
  • Whether the lender needs to see your business plan
  • For Monozukuri: a financing bank must confirm your plan

Plan for tax

Subsidies are generally treated as business income. If the subsidy arrives near your year-end, it can raise that year's profit. A tax accountant (税理士) can explain the timing and special treatment for equipment.

Common cash-flow mistakes

  • Counting on the subsidy to pay the vendor. The vendor needs the full amount long before the subsidy arrives.
  • Paying from a personal account or in cash. Pay from the business account and keep proof — other payments can be rejected.
  • Forgetting the report. No report, no payment.
  • Spending before the grant decision. Those costs are not covered at all.

FAQ

When do I receive a Japanese subsidy?

After you have paid for everything, finished the project and your completion report has been checked. That is usually several months after the grant decision.

Can I get the subsidy in advance?

Normally no. Most subsidies are paid as a reimbursement after the project. A few programs allow partial advance payments in special cases — check the guidelines.

Can I borrow money to cover the gap?

Yes. Many businesses use a bank loan or a Japan Finance Corporation loan. Show the lender your grant decision and plan, and confirm the program’s payment rules first.
